Stand construction guidelines

  • The minimum area for equipped Pre-built booths is 12 square meters, for self-built booths is 24 square meters, and for outdoor space is 30 square meters.
  • with standard equipment will be provided to the participants. Standard equipment includes the following items:
  • Surrounding panels, carpeted floor, fascia signage, one electrical outlet, lighting (2 x 100-watt lamps or one projector), one table, and two chairs for every 12 square meters.
  • For custom-built booths, only the exhibition space will be allocated. Exhibitors are responsible for the construction, decoration, and all internal booth equipment.
  • Exhibitors who have requested raw space (custom-built booths) and intend to construct and equip their booths independently must formally introduce their booth construction contractor to the organizer no later than 30 days before the exhibition. Without this written introduction, the organizer will not be able to coordinate with the contractor for further cooperation. Please ensure compliance with the specified deadline so that, if any modifications to the booth construction plan are required, there is sufficient time for necessary adjustments.
  • The booth construction plan must include complete details regarding the booth dimensions (length, width, and height), materials used, electrical connections, flooring type, and any other relevant specifications.
  • Exhibitors must ensure that their booth contractor adheres to all technical and construction regulations. As the organizer has no legal affiliation with contractors, the exhibitor will be held responsible for any damage caused to the exhibition hall infrastructure or violations of regulations by their contractor. Additionally, non-compliance with the technical guidelines may result in penalties.
  • For custom-built booths, all construction materials must be approved by the exhibition organizing committee before entering the venue. Upon approval of the booth design, a construction permit will be issued.
  • Any construction work, decoration, flooring, or similar modifications in pre-built booths built by the organizer is strictly prohibited. No permits will be issued for bringing construction materials or booth setup equipment into these booths.
  • If exhibitors plan to display heavy, large, or tall machinery that requires crane assistance for placement or high-power three-phase electricity for operation, they must notify the organizer during registration and before booth allocation.
  • The final deadline for booth construction permit issuance is 10 days before the exhibition opening. No construction permits will be issued beyond this deadline.
  • The following construction materials and equipment are strictly prohibited inside the exhibition halls:
  1. Building materials: gypsum, cement, sand, gravel, clay bricks, gypsum blocks, raw iron, uncut MDF/wood
  2. Equipment: circular saws, welding machines (above 50A), air compressors (above 20 liters), paint sprayers, or any similar heavy tools
  3. Only lightweight, prefabricated structures may be used. Exhibitors must prepare frameworks and structures off-site and only assemble them within the exhibition hall.
  • Booth construction personnel must adhere to all safety standards and use appropriate tools to ensure a safe working environment. The employment of skilled professionals is mandatory, and unqualified or inexperienced workers must not be engaged in construction.
  • The maximum allowable booth height inside the halls is 4.20 meters. Exhibitors should ensure their booth design complies with the specific height restrictions for each hall.
  • If a two-story booth design is planned, exhibitors must submit a written request with detailed specifications (including height and purpose of the second level) to the organizer at least 20 days before construction. The second level must remain open (roofless) and comply with all safety regulations.
  • Booth contractors must coordinate with the hall manager for any electrical or water connections. Unauthorized use of hall power distribution boards, cables, water pipes, fire hydrants, or other utilities is strictly forbidden. Any damage caused by the exhibitor or their contractor must be fully compensated by the exhibitor.
  • The final day before the exhibition is reserved for booth interior decoration and product setup. Any activities that generate dust, such as cutting, sanding, or similar construction work, must be completed by 10:00 PM, two nights before the exhibition opening to avoid disruptions.
  • Due to the necessity of ensuring easy access for fire department personnel to all areas of the halls, no booth construction materials, supplies, or additional items should be placed behind the booths adjacent to the walls. Therefore, the presence of such items behind the edge booths in the exhibition halls will incur a penalty, and the owner will be required to remove them from the hall.
  • Exhibitors must complete booth setup and remove excess materials by 6:00 PM on the day before the exhibition. Otherwise, the exhibition security team may close the hall, and late exhibitors will be required to remove their remaining materials immediately.
  • Disposing of construction waste or debris inside or around the exhibition hall is strictly prohibited. Small waste must be placed in designated bins, while larger materials (such as wood, metal, or stone pieces) must be transported outside the exhibition premises. Violators will be subject to fines.
  • If a custom-built booth exceeds the height of adjacent booths, the exhibitor must ensure that the rear side of the structure (facing neighboring booths) is properly finished and decorated to avoid an unappealing appearance. Advertising or company branding on the back panels facing adjacent booths is not allowed.
  • As water supply is not available in all areas of the exhibition hall, exhibitors requiring a water connection for a specific machine must submit a water supply request form via the exhibition website. This request must be approved by the organizing committee before finalizing arrangements with the on-site water supply unit.
  • Exhibitors must avoid drilling the floor or walls of the exhibition hall. Any damage to the venue’s infrastructure will result in a fine, which must be settled before the exhibition ends. A damage cost table is available on the exhibition website.
  • If booth construction is not completed on time, causing disruptions to the exhibition’s overall setup, the organizer reserves the right to claim damages from the exhibitor.
  • At the time of registration, an additional fee per square meter is charged to cover fire insurance, public liability insurance for booth personnel, and electricity consumption.

 

Booth Allocation and Layout

  • The allocation and placement of booths are entirely at the discretion of the organizer. Even after receiving the booth layout and reviewing it, participants should be aware that the organizer may be required to relocate or reassign booths due to various reasons. In such cases, the organizer will make every effort to provide an alternative booth of the same dimensions to the participant.
  • As per standard exhibition practices, the organizer is required to provide exhibitors with their booth location map at least one month before the exhibition opens. However, if booth placement can be determined earlier, the organizer will collaborate with exhibitors in accordance with Clause 1, allowing them to express their preferences where possible.
  • The presence of columns in certain booths is unavoidable. While every effort is made to minimize the number of booths affected by columns, due to the structure of the exhibition halls, some booths may have columns within or in front of them. The locations of these columns will be indicated on the exhibition layout map. Exhibitors should take these constraints into account when designing and constructing their booths. Additionally, any painting of columns or electrical panels installed on them is strictly prohibited.
  • Per exhibition regulations, the halls are handed over to the organizer four days before the event opens. Exhibitors, especially those constructing their own booths, must prepare their initial setup and materials in advance to ensure timely booth completion.
  • Pre-built booths provided by the organizer will be handed over to exhibitors one day before the exhibition opens.
  • The entry of vehicles into the halls for unloading goods is strictly prohibited. Goods and materials may only be transported from the entrance of the halls to the booth using hand trolleys or laborers. Before the exhibition opens, only pickup trucks and trucks carrying booth construction materials are permitted in the exhibition premises, strictly with prior authorization. The entry of personal vehicles into the exhibition area is strictly forbidden.
  • Subleasing or sharing booths with other entities is prohibited and subject to penalties.Goods may be unloaded by cranes up to the entrance of the halls or within open areas of the venue. However, for safety reasons, after the exhibition concludes, the movement and removal of goods from the halls and open areas will only be carried out by the on-site contractor.
  • Exhibitors must adhere to booth boundaries. Placing items or equipment outside the designated booth space, even by a few centimeters into aisles or unused spaces, will result in penalties and, if not rectified, may lead to booth closure.
  • The organizer is responsible for cleaning the aisles inside the exhibition halls, while exhibitors are responsible for cleaning their own booths. Exhibition hall cleaning staff are not allowed to enter booths without the presence and consent of the exhibitor. The organizer is responsible for maintaining cleanliness in the exhibition’s outdoor areas.Additional furniture or equipment requested for booths will incur extra charges.

-Please note that the standard allocation of tables and chairs for each booth is two chairs and one table per 12 square meters (applicable only to booths constructed by the organizer). Any additional requests will be subject to extra charges.

  • The details provided by the exhibitor in the registration form regarding the booth type (custom-built or pre-built) will be the basis for further arrangements. The booth size and its furnishing status (equipped or unequipped) will strictly follow the details mentioned in the registration form. If there is any discrepancy upon receiving the booth, exhibitors must immediately report it to the exhibition secretariat.
  • If an exhibitor initially requests a fully constructed and furnished booth but later wishes to cancel the furnishings, they must notify the organizer at least 10 days before the exhibition opens. Otherwise, any previously paid booth construction fees will be non-refundable.
  • Upon receiving the booth, exhibitors must measure its dimensions. Any claims regarding booth size will only be considered within the first two days of the exhibition; thereafter, no complaints will be accepted.
  • If an exhibitor expands the booth space beyond the allocated area, particularly in custom-built booths, the additional space will be considered part of the booth and subject to additional charges. Furthermore, encroaching on aisles will result in extra fees for the occupied space, in addition to penalty charges.

Procedures for Booth Removal Following the Exhibition

  • Booth evacuation or abandonment is not permitted until the final moment of the exhibition’s operation on the last day. Booth removal must commence the day after the exhibition concludes and should be completed within a maximum of 48 hours.
  • On the final day of the exhibition, the reopening time of the halls for booth removal and the collection of goods will be announced to the exhibitors. It is imperative that all exhibitors be present at their booths from the beginning of the removal process to prevent theft or damage to booth equipment and goods. Even if an exhibitor is not ready to remove their goods on the first day, it is essential to designate someone to oversee the items within the booth. Once the halls reopen, various individuals—including porters, workers, cleaners, and others—will enter the premises, and among them, unauthorized persons and opportunists may exploit the situation. Therefore, from the moment the halls reopen at the conclusion of the exhibition, the responsibility for safeguarding and maintaining goods and equipment against theft or damage rests solely with the exhibitors.
  • Participants who have undertaken the decoration of their booths shall, after the conclusion of the exhibition, dismantle the decorative installations and clear all remaining residues thereof.
  • In the event that the booth is not vacated and exited in a timely manner, the organizer shall proceed with the collection and transfer of the items to a warehouse, and in such case, the costs of transportation and storage shall be charged to the owner of the goods. Furthermore, the responsibility for any potential damages incurred shall rest with the owner of the goods.
  • Moreover, if any portion of the participation fees—including booth rental, construction, rental of additional equipment, extra electricity charges, discrepancies in area measurements, etc.—has not been fully paid, the removal of goods shall not be permitted prior to the complete settlement of accounts.
